Dear Faculty Advisors and Chapter Presidents and Reporters,

You had a tremendous showing this fall by submitting 5,472 professional and service activities to the Executive Office for the 10/15, 11/15 and 12/15 deadlines.

Today's Executive Office updates cover:

Please keep checking the Communications to Chapters. Whenever we send broadcast email we post it there. Many times these memos are filled with important information about reporting issues, deadlines reminder, and other international/regional updates.

Resume Database Update

We completed the first data feed. New pledges entered into the system as of mid-December should receive an email from CareerBank which indicates their new password to access the database. Please make sure to communicate this to your pledges so they do not accidentally delete the email. If they do not receive an email, please ask one of the officers to email the Executive Office at bap@bap.org and provide us with the names and email addresses of those pledges who did not receive an email from CareerBank.

The deadline for reporting resumes upload/update has been extended to January 31, 2005 to allow ample time for your chapter’s pledges and members to upload/update their resumes. Chapters should report 50 minutes of professional activity time for each student that uploads or updates his/her resume with the February 15 reports. If pledges/members equal to the chapter AMPB for January (AMPB=80% of total active member/pledges) upload/update their resumes, then the chapter will receive credit for a national/regional activity by uploading a document into the Document Library by February 15, 2005. The uploaded document should indicate that 80% of the chapter members/pledges either uploaded or updated their resumes prior to the end of January.

10/15, 11/15 and 12/15 Reports Evaluated

The Executive Office has completed the review of all reports for the first three reporting periods (10/15, 11/15 and 12/15). Please be sure to look at your reports for this period, and review the Professional YTD Summary Report, Service YTD Summary Reports and YTD Summary table on the Chapter Main Menu for accuracy. For those chapters who have reports that were returned to the planning/reporters inbox, it is because there is additional information required. Please click into the inbox and then into each worksheet individually. The columns of the worksheet that are a lighter shade of yellow are the reports that have comments from the Executive Office that you will need to review and address. You are able to access individual activities by clicking on the event name at the top of the column. This will show the gray activity sheet that you originally used to enter in the event details. In the box directly below the Event Details section is a box that is labeled National Office and it is in this section that you will see comments from the Executive Office. Please provide the information requested in the Chapter Response box directly below the National Office box, click the continue button and repeat this for any other activities in each worksheet until all comments have been addressed. You should then resubmit the worksheet to the National Office inbox so that we can re-review the reports the following reporting period.

Common Reporting Mistakes and Reporting Tips

Common Reporting Mistakes:

Here are a few common reporting mistakes we found when evaluating the first three reports. Please review them carefully to avoid making the same mistake for future reporting.

  • A chapter may report up to two social activities with professionals per year as professional activities. The activity time is limited to 1 hour (50 minutes) per individual per activity. Alumni events with no professional component (i.e. alumni banquet, alumni picnic, etc) are considered social activity with professional. In addition, an alumni event might be qualified for NRA credit if the event meets the requirements as stated on the PCA (prior approval by the Director of Chapter Activities is required).
  • Credit is not given for pledge “rushes”, orientation meetings, organizational meetings, chapter business/planning meetings, initiation and similar activities that provide no professional component.

    First initiation should be reported as a professional activity with zero hours of activity time. A second initiation should be reported as a professional activity with zero hours AND should be designated as a national/regional activity.

  • Promoting careers in accounting/finance/ information systems should be reported as a professional activity instead of service activity. Chapter should also report this event as a NRA.
  • A maximum of 10 hours (500 minutes) per chapter officer/committee chair may be reported for up to 10 officers and committee chairs per reporting year for their time providing service to the chapter.
  • Activity time should be reported in minutes instead of hours. The computer will then divide the minutes by 50 to convert to hours. Remember that the minutes reported should exclude those things that do not count including breaks, refreshments, BAP organization discussions, and the like.

Reporting Tips:

  • Report weekly/daily tutoring once per month as a single activity.
  • Report chapter officers/committee chairs service to the chapter at the end of each semester or at the end of the year on a single report.
  • The heading for the activity (professional and service) worksheet should indicate a descriptive name for the event that helps to identify the meeting. For example, rather than saying "Professional Meeting 1" the heading should read something like "Ethical Challenges".

Annual Maintenance Fee, Chapter Information Update, and Attendance for the Annual Meeting, Community Service Day, TJ Burns Undergraduate Student Seminar and Graduate Student Seminar Posted

Annual chapter maintenance fee and online chapter information update for the Beginning-of-the-Year Report have been posted by the Executive Office upon receipt. National/regional credit for attending the Annual Meeting, Community Service Day, Thomas J. Burns Undergraduate Student Seminar and Graduate Student Seminar has been issued based upon the final attendance list from the meeting. These items will show up as check boxes on the Chapter Activity Check List. Please go to your chapter's Chapter Activity Check List to check for accuracy. Be aware that the check list page you will see is a VIEW ONLY page.

Outstanding Membership Receivables Reminder

We would also like to remind you that all outstanding membership receivables are due upon entering pledges into the system. To determine if there is an outstanding amount for your chapter please log in and generate membership fees invoice.

Deadlines Reminder

Please continue the reporting process for the February 15th deadline by inputting your January activity as you did the summer through December activities.

Business Information Professional of the Year nomination is due on February 15.
