Dear faculty advisors and chapter officers,

We would like to take this opportunity to summarize important end of the year events:

Beta Alpha Psi Annual Meeting
Please register and encourage your students to register for the Beta Alpha Psi Annual Meeting in San Francisco at www.bap.org. Our program chair has arranged for an outstanding program of speakers and activities. We have exciting Friday night options available (Baseball, Alcatraz, City Tour, Pier 39) and they are available in limited numbers on a first come, first serve basis. Do not delay; register today!

4/15 activity report reviewed
The BAP executive office has completed the review of all reports for the seventh reporting period (4/15). Please be sure to look at your reports for this period. For those chapters who have reports that were returned to the Planning/Reporters inbox, it is because there is additional information required. Please review, provide the necessary information and resubmit to the National Office inbox for approval.

Please note that the last day for submitting any April activities is May 15, 2005 for those chapters that have a reporting year-end of April 30. For chapters that have a reporting year-end of May 31, the last day for submitting May activities is June 1, 2005.

NRA credit being given for Regional Meetings
NRA credit has been given to all of the eight regions (Atlantic Coast, Midwest, Missouri Valley, Northwest, Rocky Mountain, Southeast, Southwest and Western) for regional meeting attendance, leadership conference attendance, and regional meeting presentations. Please verify that the credit given to your chapter is correct.

Year-end reporting requirements
Please note that the Year-End Report is due for all chapters on June1, 2005. Please keep in mind that all documents for year end are to be uploaded into the Document Library under the corresponding category. No FAXes, e-mails, or snail mail will be accepted. The only exception is for chapters that have $25,000 or over in revenues. You must mail your original Form 990 to the Executive Office, and it must also be uploaded.

The following items are required for year-end reports:

  • Statement of Financial Position
  • Statement of Activities
  • Faculty advisor’s sign off of financial Statements or Auditor’s Report (require for chapter with gross receipts of $25,000 or more).
  • Faculty advisor’s expected achievement level
  • Faculty advisor’s verification of the non-BAP hours
  • Tax Release Form
  • IRS Form 990 or 990 EZ (chapters with gross receipts of $25,000 or more must use Form 990 and mailed two copies to the Executive Office)
  • Online chapter information update

Outstanding membership receivables reminder
We would also like to remind you that all outstanding chapter receivables are also due at the end of the year. To determine if there is an outstanding amount for your chapter please log in and review your balance at http://intranet01.bap.org/intranet3/InitiateFees.asp?type=invoice.
