Reporting Intranet Training
For faculty advisors attending the BAP Annual Meeting, an overview of the system will be provided during the Faculty Advisors’ session. Any Faculty Advisor who registered for one of the tutorial sessions has been deregistered. These sessions are for students only. Also, there is a limit of one member per university. Some of your members may have received e-mails that they were deregistered.
You may sit in the back of the room and observe if space permits.
Change in handling cash receipts
In the fall, we will have changes to our cash procedures to improve our internal controls. In the meantime, there are a few areas that need improvement and I will appreciate it if you can sensitize your chapter’s officers that these steps make good business sense. We should be practicing what we preach!
- Both personal and school checks sent to BAP on behalf of the chapter should contain the chapter number on the check to which the amount is being applied to.
- Whenever a check for pledge payments is sent to BAP, it should include an invoice printed from the Reporting Intranet so that we know who to apply it to. The check should be equal to the amount – not more or less.
- Chapters should only submit payments for individuals listed on the Reporting Intranet. We can not accept checks for pledges when they have not been listed on the Reporting Intranet.
- If an issue arises and the chapter believes that there is a discrepancy with the actual pledge fee amount owed as opposed to the invoiced amount they should contact the Executive Office before they remit payment. Instances were chapters enter a pledge more than once and where chapters need to confirm transferred members need to be resolved before payment is submitted.
- When a check is sent in with payment for multiple items – maintenance fee, pledge dues, supplies order – everything must be spelled out on the remittance advice or on a separate sheet of paper. Note - Chapters must include a Chapter Supplies Order Form with the payment. We will still be capable of providing overnight delivery service.
- When a chapter remits pledge dues they should send one check totaling the invoice amount to BAP as opposed to individual checks per pledge.
BAP Annual Report
The 2005-6 Annual Report is on the BAP Website. Congratulations to a faculty members and students who have received awards and recognition! We will not be distributing copies at the Annual Meeting this year. We will have a supply of hard copies available and I will send you a copy if you request it by sending an e-mail with “Annual Report” in the subject.
For those of you attending the Annual Meeting, I look forward to seeing you. If you haven’t registered yet, there is still time.
