RE:

New Alumni Reaching Out Activity (ROA) for the 2009-2010 Academic Year


Greetings! We would like to inform you of an exciting new way to earn an ROA in the current year. We are busily working to develop an alumni database where alumni can sign up in order to receive updates from our organization and become more involved. With this database, chapters will be able to locate alumni in their area that want to be involved, and chapters will be able to better coordinate alumni events. Chapters can earn this ROA in one of two ways. They can submit an alumni contact list (Option 1) or set-up/maintain a chapter alumni board (Option 2). See a further description of these options below. The ROA point for holding an alumni activity with chapter members still exists as a separate ROA. Therefore, a total of two ROA points related to alumni initiatives can be earned this year. The ROA point for submitting an application for the Alumni Representative position has been removed.

The following describes the two options in which the new Alumni ROA point can be earned.

Option 1: Alumni Contact List
To receive an Alumni Contact Information ROA point during the 2009-2010 academic year (this option will only be available in the current year), the chapter will be required to submit on the Reporting Intranet a list of alumni contacts in spreadsheet format (see the attached template) with at least each alumni’s name and current email address (other information will also be welcomed). The list will be due by May 1st. We will require the chapter to use at least three of the following resources in creating their list:

  • A formal or informal list currently maintained by the chapter itself
  • The Faculty Advisor and other accounting/finance/IT faculty
  • BAP chapter alumni board/program
  • School of Accountancy alumni list**
  • School of Business alumni list**
  • Other, specify___________________________________________

The chapter will also be required to include all members graduating in the current year in their alumni contact list. This list must be composed in the Alumni Contact ROA Template and submitted on the Reporting Intranet by May 1st.

**There is a possibility that some chapters will face resistance from their university alumni organizations that are unwilling to provide alumni contact information. For this reason, we have provided several options above and only require that chapters use at least three of these resources. In order to respect the privacy of alumni organizations and make all intentions clear, we encourage chapters to the utilize options outlined below in making these connections:

  • Request a personal meeting with accounting/finance chairs or deans to explain the intention and goal of obtaining the alumni contacts and request a connection to be made with the University’s Alumni Foundation.
  • Work with the Foundation representative to identify Beta Alpha Psi alumni. The Foundation may have this information; however, the chapters can also obtain the names of all Beta Alpha Psi alumni from the University through the Reporting Intranet.
  • Work with the Foundation representative to obtain the alumni contact information. Many University Alumni Foundations will be unwilling to disclose contact information. In this case, the Foundation may be willing to at least forward our communications to their alumni. If this is the case, we encourage chapters to use the below email to be sent to alumni on the chapters’ behalf to obtain this contact information:

    As an alumnus and lifelong member of Beta Alpha Psi at (College/University Name), the (Chapter Name) chapter is contacting you in order to strengthen our connection between alumni and the chapter by obtaining your preferred contact information for ease of communication. (Provide information here about your chapter, number of members, progress that has been made over the past few years).

    Alumni are a vital resource to our organization, and with your involvement, our chapter will be able to continually grow, and serve our members and our community more effectively. The Board of Directors of Beta Alpha Psi International is putting in to place an alumni database which will be a useful tool for alumni and for our chapter. On the database, alumni will be able to register once filling out a profile, and then utilize the search option to look for other alumni in their area, of certain specialties, or of common interests. The information that alumni provide in their profiles will help us match opportunities for involvement at our chapter with the appropriate people. Additionally, the Alumni Representatives on the Board of Directors will be sending quarterly communications to all registered alumni about recent events and opportunities to be involved with Beta Alpha Psi.

    We hope that you will take advantage of this opportunity to stay involved with the organization that provides incredible benefits for networking between alumni, and the ability to help students grow personally and professionally. In order to submit your contact information, please directly contact (name of someone at your chapter), at (email address) with your name and preferred email address in order to be added to the alumni contact list.

    We thank you for your continued participation with the Beta Alpha Psi chapter and the University as a whole. The chapter, the school’s faculty and staff, and most of all the students truly appreciate your valued contribution.

Option 2: Chapter Alumni Board
Each chapter will be eligible to earn a Reaching Out Activity for setting up or maintaining an alumni board. An active board is made up of four or more local chapter alumni. Throughout the year, the board must keep in close contact with the local chapter. The alumni on the board will serve as an intermediary between alumni and the chapter, enabling the chapter to utilize alumni as a valuable resource. The alumni board must work with the chapter to complete and submit on the Reporting Intranet the attached Alumni Board ROA Template by May 1st of each year in order to qualify for this Reaching Out Activity.
